Projects, tasks and time: plan, deliver, review
From the project group down to a single time entry: board and list, subtasks and checklists, descriptions several people write at once, time tracking with a weekly report. All in the same workspace as your contacts, files and automations.
What YOWO7 Projects does
Four building blocks that matter day to day — and no separate project tool anymore.
Groups, projects, boards
Bundle projects into groups, give every project its own status columns, and work as a board or as a list.
Tasks with depth
Multiple owners, priority, dates, estimate, tags, subtasks, checklists, attachments and comments — on every task.
Track time and review it
Log time right on the task, then read the weekly and monthly view with actuals against your capacity.
Live with the team
Moved tasks appear for everyone instantly, and you write the description together — with colored cursors.
From the group down to the task number
Instead of one flat project list you get a clear structure: groups hold projects, every project has its own status columns, and every task carries a unique number like LNCH-142.
- Groups bundle related projects — nested in the sidebar
- Every project with its own key, icon and color; pin the important ones to the top
- Unique task numbers you can quote and link to
- Custom statuses per project, sorted into open, active and done
- Transfer tasks between projects — including all subtasks
Private groups
In private groups only listed members see the projects — and only they can be assigned tasks there.
Board, list, filters — the way your team thinks
The same project as a Kanban board or as a table. Drag tasks between columns, group the board by assignee, priority or tag, and filter so the link to the view can simply be passed on.
- Kanban with drag & drop for column and order
- Swimlanes: board grouped by assignee, priority or tag
- List with columns for status, assignees, due date, priority, estimate, tracked time and checklist progress
- Filter by text, status, assignees, tags and priority — the filter lives in the link
- Select several tasks and change them together, with undo right after
- Show or hide subtasks on the board
Edit right in the row
Change title, due date, assignees and priority straight in the list — without opening the task.
The task as a workspace
Open a task and everything is there: fields, description, subtasks, checklists, files, comments and the full history. The team writes the description at the same time, and every revision is kept.
- Multiple assignees, start and due date, five priority levels, estimate and tags
- Rich-text description — edited simultaneously, with colored cursors of the others
- Version history of the description with comparison and restore
- Subtasks and as many checklists as you need for the fine steps
- Attach files directly; every attachment is scanned for malware
- Comments plus history: who changed status, dates or assignment and when
Notifications that matter
On assignment, status and priority changes or a new comment the people involved hear about it — in the app and in the email summary.
My tasks across every project
One list for everything assigned to you — no matter which project or group it sits in. Group by project or status, sort by due date or priority, and hide what is done.
- All assigned tasks from every project you can access in one view
- Filter by project, group, status and priority, with done tasks on request
- Sort by due date, priority, title, project or creation date
- Group by status, project or group — combined as well
- On the home page, widgets show your projects and what is due next
Track time where the work happens
Time belongs on the task, not in a second tool. Enter duration, date and a note, then see in the weekly or monthly view how the hours spread out — measured against the capacity you set.
- Time entries right on the task, with date and note
- Estimate and tracked time sit side by side
- Weekly and monthly view with totals per day, task and project
- Set capacity per weekday and see the difference to actuals
- Filter by project or look at a team member's report
- Log time for colleagues when you have to
Reporting without exports
Daily, task and project totals are calculated for you — nothing to copy into a spreadsheet.
Steps that happen on their own
Projects plug into the automations of the workspace. A status change can assign a reviewer, a new contact can fill an onboarding project with tasks, a comment can create a follow-up.
- Triggers: task created, updated, moved or archived, new comment, CRM link
- Actions: create, update, assign, move or archive a task
- Post a comment and link or unlink CRM records
- Conditions on title, status, priority, assignees, due date and tags
- The same functions are available through the public interface

FAQs about Projects
Yes, any time and per project. The board suits stage-based work, the list suits tabular work with columns for due date, priority, estimate and tracked time. Both show the same tasks.
Every task has multiple assignees, a start and due date, priority, estimate and tags. On top of that come a rich-text description, subtasks, several checklists, file attachments, comments and a history of every change.
You enter time on the task: duration, date and an optional note. There is no running stopwatch. Instead you can log time afterwards, set the daily total directly, and record entries for team members too.
No. Planning happens through status columns, priorities, start and due dates and the estimate. If your workflow strictly needs Gantt charts or hard dependencies, we will tell you openly before you migrate.
Templates and recurrence are not available today. You can transfer tasks including their subtasks into another project, and have an automation create recurring work for you.
Yes. Moved tasks and changed fields appear instantly for everyone in the project. You work on the description at the same time — including colored cursors and presence of the others.
Groups bundle related projects, and you pin the important ones to the sidebar. “My tasks” shows everything assigned to you across projects, sorted by due date or priority.
Yes, through private groups. Only listed members see those projects, and tasks can only be assigned to those members.
Projects is meant for members of the workspace; guest access is not available. For working with the outside you use Forms, the support widget or email from the Inbox.
Yes. Groups, projects, tasks, comments, checklists, time entries and links are reachable through the public interface — with the same permissions as in the app, for AI assistants as well.
